Cold email software that starts from a real reason to write
Cold email software sends personalized messages to prospects who do not know you yet, follows up automatically and keeps your sender reputation safe. The Rankmetr outreach module is in preparation: lists of companies, a personal reason for each message taken from data about the prospect, sequences, email warmup, address checks and reply sorting. Leave a request to join early access.
What cold email outreach is and why it still works
Cold email outreach is a first message to a business that has not contacted you before: a sales offer, a partnership, a request for a link or a guest article. It works when the message is short, relevant and personal, and its goal is a reply or a meeting, not a sale in one step. It fails when a list of thousands receives the same template.
The difference is the reason to write. A message that says what you noticed about the prospect, such as a drop in their Google rankings, a competitor that AI assistants recommend instead of them, or a broken page on their site, gets read. A generic offer gets deleted or marked as spam, and spam complaints damage the sender for every next campaign.
What the outreach module will do
Outreach is planned for the next stage of the platform and is marked as coming soon. These are the planned features.
Company lists
Prospects by category and area from the company database, with website and contacts of the business.
A personal reason for each message
Data from the platform, such as rankings, AI answers or site errors, becomes the first line of the message.
Sequences
A first message and follow ups that stop when the prospect replies, built and set once for the whole campaign.
Email warmup
New sending mailboxes are warmed up gradually before campaigns go out.
Address checks
Addresses are verified before sending to keep the bounce rate low.
Reply sorting
Replies are sorted in real time so interested prospects do not get lost among auto replies and out of office notes.
Key features to look for in cold email software
Popular cold emailing software such as Lemlist, Woodpecker, Mailshake or Instantly covers the sending part. When you compare tools, check these points.
- Deliverability: email warmup, sending limits per mailbox, rotation across accounts and checks of SPF, DKIM and DMARC.
- Personalization: more than a first name: a line about the prospect that shows you looked at their business.
- List quality: verification of addresses and removal of duplicates before a campaign starts.
- Follow ups: automatic sequences with pauses, stopped by a reply or an unsubscribe.
- Reply management: one inbox for replies from all sending accounts, with sorting by intent.
- Integrations: export of leads to your CRM so sales teams continue the conversation there. Open rates matter less than replies, so judge a tool by reply data.
How outreach automation will work
- 01
Build the list
Choose a category and area, and the platform collects businesses with websites and public contacts.
- 02
Find the reason
For each prospect the platform picks a fact worth mentioning from its rankings, AI visibility or site checks.
- 03
Write and warm up
Prepare the copy and the sequence, while sending mailboxes go through email warmup for a few weeks.
- 04
Send and sort
Campaigns go out within safe limits, replies are sorted, and interested leads move to your sales process.
Deliverability and how to keep risk away from your main domain
The real risk of cold email is not a fine for most B2B senders, it is a burned sender reputation. If many recipients mark messages as spam, mail providers start moving your messages from the inbox to the spam folder, and that can affect the domain you use for regular customer email.
In practice teams keep outreach separate: one or more secondary domains just for cold sending, so the main inbox of the business stays safe, new mailboxes that are warmed up before campaigns, modest daily volume per mailbox, verified lists and a clear unsubscribe line.
The main domain, your customer accounts and your ad accounts are never used for cold sending. If a sending domain gets a poor reputation, you replace it and the business continues.
Rules for commercial email differ by country. In the US, CAN-SPAM requires a truthful sender and subject line and a working opt-out. In the EU, B2B outreach usually relies on legitimate interest and an easy way to object. Check the rules for the markets you write to.
What you can do before the module opens
Two parts of outreach work today. The company database collects businesses by category and area, with website, phone and rating. Brand monitoring finds sites that mention your topic or your competitors, which are natural targets for link building and partnership emails.
Agencies that already run outreach for clients can ask for an export of prospects with a personal reason for each one in CSV, and send them through the outreach automation tools their teams use now. Leave a request and tell us what you send and to whom.
FAQ
What is cold email software?
A tool for outreach automation: it sends personalized messages to prospects in sequences, manages several sending accounts, tracks replies and protects deliverability with warmup and address checks.
What is email warmup?
Gradual sending from a new mailbox, starting with a few messages a day and growing week by week, so mail providers learn that the sender is legitimate before real campaigns start.
Can cold email software help with high volume outreach?
Yes, by spreading sending across several mailboxes and domains with limits for each. Volume without personalization still leads to spam complaints, so scale the list only after the template gets replies.
What's the difference between cold email outreach and email marketing?
Email marketing goes to subscribers who opted in. Cold outreach goes to people who have not contacted you yet, so it needs a personal reason, low volume per mailbox and an easy opt-out.
Is there free cold email software?
Many tools have a free trial or a free plan with a single mailbox. For real campaigns you need several warmed mailboxes and address checks, which are usually paid.
Is the outreach module available now?
Not yet. It is planned for the next stage and is marked as coming soon. Company lists and brand monitoring already work, and agencies can get prospects with a personal reason as a CSV.
How much does it cost?
Prices are not published. Rankmetr is in closed beta and terms are discussed with each participant.
